Europabank is a Belgian bank established in 1964. The bank offers a variety of financial services for both individuals and businesses. With 47 commercial offices in Belgium, Europabank targets a broad audience, providing everything from personal loans to business credits and savings solutions. The back office in Ghent works daily on further digitizing its internal processes to operate more efficiently.

Challenges

One of the challenges Europabank faced was the lack of a centralized platform for internal communication and document management. The old communication platform was static and lacked interactive features such as likes and comments. Additionally, communication staff could not make changes without the involvement of the IT department, causing delays. Documents were spread across multiple systems, and the existing platform no longer met modern requirements.

Choosing Involv

The Business Process Management department at Europabank began the search for a new intranet that was not only user-friendly but also offered interactive features. A centralized platform that could be easily managed with minimal dependence on IT was crucial. The choice fell on Involv, partly because the platform is built on Microsoft SharePoint, which aligned well with Europabank’s existing IT infrastructure.

Solution

In September 2023, an intensive process was launched that included eight to ten workshops with various teams within Europabank. The collaboration went smoothly, allowing colleagues to ask questions and exchange ideas directly. During the workshops, the intranet usage was explained step-by-step, and active learning took place through hands-on experience.

Additionally, a handy internal guide was created, specifically tailored to Europabank’s business processes. This guide provides instructions for uploading documents, creating new items, and using tags, helping the entire team quickly familiarize themselves with the new system.

The Launch

The launch of the new intranet in March 2024 was celebrated in a playful manner. Europabank organized a festive introduction with birth announcements and Easter chocolates for the staff, as the launch coincided with Easter. The involved departments were given special recognition as the “godparents” of the new platform, ensuring a personal and enthusiastic reception.

Future plans

Although Europabank has only been active on the new platform for five months, there are already plans for further optimization. In the future, the use of analytics, an automatically generated newsletter, a new onboarding tool, and possibly even a mobile app and casting features could provide additional value and contribute to even more efficient internal communication.

Conclusion

Thanks to Involv, Europabank now has a centralized platform that elevates its internal communication and document management to a new level. Employees are excited about the new possibilities, and the smooth collaboration with the Involv team has ensured a successful implementation.
